Step 2: File Upload
- Enter the ‘Subscriptions’ module from your dashboard. Click on 'Import Subscriptions’ if you are onboarding or the 'Import' button in the top right for subsequent imports.
- Next, select the type of subscriptions you are importing.
SubscriptionFlow classifies them into two types:
- Evergreen: This type corresponds to a subscription start date & stays active indefinitely unless paused or canceled. Mandatory fields are subscription start date, customer ID, product ID & plan ID.
- Termed: In addition to a subscription start date, this type is tied to a term period, a term period type, auto renewal & other associated rules. It will stay active only within its defined initial term & may be set to auto-renew. Mandatory fields are subscription start date, customer ID, product ID & plan ID.
If you are only dealing with evergreen subscriptions, you can simplify the import, as evergreen subscriptions require much fewer fields to be defined than termed ones. Select ‘Both’ if your CSV file contains both subscription types.
- Under ‘Advanced Configurations’ you can also enable fields for gift subscriptions, trial subscriptions & expired/paused subscriptions. Click on ‘Start Import’.
- Browse files for upload. Note that only CSV files are supported.
- Here is a sample file carrying subscription data in the CSV format.
- This dummy file has been uploaded to SubscriptionFlow. Click ‘Next’.
Step 3: Field Mapping
- Next, map the data fields in your file to relevant fields inside SubscriptionFlow. In this example, the system has automatically mapped customers, products and plans to appropriate fields. The remaining fields can be mapped from the dropdown menu. Mandatory fields are shown in red.
- Once you’ve mapped the fields, you can also create default fields that apply to all subscriptions in the list. For example, applying a list price of 30 USD, assigns this new list price to all your subscriptions, replacing the list price tied to the plans associated with these subscriptions.
- Select the date and/or time format setting to match the fields within your CSV.
- You can check ‘Update Existing’ and select an associated field. If there are any IDs in the file identical to exiting IDs inside the system, they will be updated with new data from the file.
- Alternatively, you can select 'Do not import existing’ to skip any IDs in the file that match existing ones inside the system. Click ‘Next’. A green pop up will notify you that the import has started. Go to Admin Settings > Data Administration > Imports to check the status of your imports.
Step 4: Completion & Troubleshooting
- Once the import is complete, navigate back to the ‘Subscriptions’ dashboard to see the new records created via import.
- If your records aren’t visible, go to ‘Administration Settings’ and then ‘Imports’.
- Locate your import. You may undo it if you wish.
15. Open an import and scroll to the extreme right to find an errors file outlining the reason why your import failed. In some cases you may successfully import some records while others fail. The errors file can be downloaded as a csv file outlining the row and reason for error in your import doc.
And that is how you import evergreen subscriptions.
