This guide contains stepwise instructions on how to import your contacts into SubscriptionFlow. Contacts are connected to customers. Customers can purchase gift subscriptions for their contacts.
To import contacts, first you need to import customers. To learn how to import customers go to this guide.
Step 1: File Preparation
First, prepare your file for import.
Use any spreadsheet software to organize your data and export it to CSV format in the final step. The following columns/fields are required for the successful import of customers.
Mandatory Fields for Contacts Import
Customers | |
Customer Name* | The name of the customer that identifies them. |
Email* | An email address. |
Contact Last Name* | The last name of the contact linked to the customer. |
Step 2: File Upload
- In case you are not able to see the Contacts module on your Dashboard, click the gear icon right right next to where it says Dashboard.
- You will see a popup that says Customize Navigation. Select the Contacts module from the left column by clicking it, then click the arrow that says ‘Move all selected items to right’, after which click on ‘Save Changes’. A green pop-up notification at the top right corner of the screen will indicate that the changes have been successfully saved.
- Enter the Contacts module from your dashboard. Navigate to the top right corner of your screen, click ‘More’, and then click ‘Import’.
- Note that only files in the CSV format are supported for upload.
- Here is a sample customer data file in the CSV format. It contains the required fields for contact import.
- Upload the file to SubscriptionFlow. Click ‘Next’.
Step 3: Field Mapping
- Next, map the fields in your file to the relevant field inside SubscriptionFlow. The ‘Required Fields’ guide to the right helps you understand & track what information is required for a successful import.
- The system maps some fields automatically e.g. the contact’s last name in this case. You can click ‘Unmap All Fields’ and start from scratch. Map all the fields in your file using the dropdown menu containing fields in SubscriptionFlow.
Once you’ve mapped the fields, you can also create a default field that applies to all the customers in the list.
- Click ‘Advanced Settings’. You will be presented with two options: Do not import existing and Update existing. Choose the first option if any record in the file is the duplicate of a record already present in the system and you wish to replace the older one with the latest one. If you want to skip duplicate records choose Do not import existing. After selection, click ‘Next’.
Step 4: Troubleshooting Errors
- Wait for the import to complete, then scroll to the right to see if the records were imported and/or updated successfully. If any error arose, the details can be retrieved from the errors file at the extreme right.
- Navigate back to the Contacts dashboard once import is complete. You will be able to see the contacts data from your CSV file that was used to create contacts inside the system.
- Click on any contact imported to see the detailed view.
