A quote is much like a subscription proposal which leads to subscription creation after it is signed with a contract. This guide shows you how to create a quote in SubscriptionFlow.
1. Enter the ‘Quotes’ module from your dashboard. Navigate to the top right corner of your screen, click ‘+ Create Quotes’.
2. From the dropdown menu, choose a customer and an expiry date at which the proposed quote will expire.
Note: filling the details of your quote will be quite similar to filling the details of your subscription. You will need to fill out what kind of subscription this quote will create if approved and what product & plan are being sold. Go through this guide to learn how to create a subscription.
Once done, scroll down and click ‘Save’.
3. A popup will ask you to confirm the display name for your quote. Click ‘Continue’ after ensuring that the name is correct.
4. You just created a new quote. You will now be redirected to a page that will show you all the important details about your quote, such as its status, amount, type, and expiry date.
5. Click ‘Edit Quote’ to edit the details you just entered in case you made a mistake.
6. Click ‘Email Quote’ to email the quote directly to your customer. Clicking ‘Email Quote’ will open a popup message that will ask you to select an email template, a PDF template, and who do you want the recipient(s) to be. After selecting the relevant options from each dropdown menu, click ‘Email Invoice’ to email the quote directly to your customer.
7. Once you send the email, the email will contain the quote as a pdf attachment. The customer’s name, their quote number, and the due amount is mentioned in the email.
8. If you open the attached file, you will see the quote in a PDF format. Like invoices, the quote too has all the details that your customer will need to take into consideration before deciding if they will accept or reject the quote.
9. To send the quote via DocuSign, click on ‘Send Via DocuSign’. To learn how to send a quote to customers for signing via DocuSign integration go to this guide. The 'Send via DocuSign' button will open this popup. Click ‘Submit’ once you’ve selected a document template from within DocuSign and a SubscriptionFlow quote template. Use the '+' button to add recipients and click 'Submit'.
10. Click ‘Generate PDF’ from the detailed quote view to generate a downloadable PDF on a separate tab on your browser. You may download the quote as a pdf this way.
11. Finally, click ‘Convert’ and then ‘Convert Subscription’ to convert your offered quote into an active subscription once the customer has agreed. Doing this will redirect you to the Subscriptions module showing the new subscription that was just activated from the quote details.
12. Upon clicking ‘Convert Quote’, you will also see a second option called ‘Convert Quote with Custom Fields’. If you want to use custom fields, reach out to our support team at support@subscriptionflow.com.
