Turn a HubSpot deal into a live, billable subscription in SubscriptionFlow. When you create a subscription in HubSpot, SubscriptionFlow picks it up automatically, creates the subscription along with its customer and contact, and starts billing it.
What this does
When the setting is on and a subscription is created in HubSpot (for example, with Convert deal to subscription):
- SubscriptionFlow creates the subscription, along with its customer and contact.
- SubscriptionFlow bills the subscription.
- HubSpot's own invoicing for that subscription is turned off, so your customer is never billed twice.
When the setting is off, HubSpot subscriptions are ignored and nothing is created in SubscriptionFlow.
Before you start
- HubSpot is connected to SubscriptionFlow. See How to connect HubSpot.
- The HubSpot to SubscriptionFlow sync direction is switched on.
- Your business model is B2B or B2C. Hybrid only sends data from SubscriptionFlow to HubSpot, so it can't pick up HubSpot subscriptions.
Step 1: Turn on the setting
- Go to Settings → SubscriptionFlow Marketplace → Integrations and open HubSpot.
- Under Real-time Data Bridge, find the HubSpot → SubscriptionFlow mapping.
- Tick Create subscriptions in SubscriptionFlow from HubSpot subscriptions.
- Click Save All Settings.
Step 2: Add products to the deal in HubSpot
Open the deal in HubSpot and add the products you're selling as Line items, for example a monthly plan, an annual plan or a setup fee.
Step 3: Convert the deal to a subscription
- On the deal record, find the Subscriptions card.
- Click Add → Convert deal to subscription.
- Complete the subscription details in HubSpot and save.
Step 4: See the subscription in SubscriptionFlow
The subscription is sent to SubscriptionFlow automatically. Open the customer in SubscriptionFlow and you'll see the new subscription with:
- Subscription Info: the plan, for example Monthly Pro
- Subscription Status: Active
- Payment Status: Pending until the first invoice is paid
- Next Bill Date: when SubscriptionFlow will bill next
From here on, SubscriptionFlow handles invoicing and payments for this subscription.
Frequently asked questions
Will HubSpot also invoice the customer?
No. Once SubscriptionFlow creates the subscription, HubSpot's invoicing for it is turned off.
What if the customer doesn't exist in SubscriptionFlow yet?
SubscriptionFlow creates the customer and contact along with the subscription.
I converted a deal but nothing appeared. What should I check?
- Make sure Create subscriptions in SubscriptionFlow from HubSpot subscriptions is ticked and that you saved.
- Make sure your business model isn't Hybrid.
- Open View Logs on the HubSpot integration page and filter by Status → error to see what went wrong.
Can I turn this off later?
Yes. Untick the setting and save. New HubSpot subscriptions will be ignored, and subscriptions already created in SubscriptionFlow aren't affected.
