SubscriptionFlow for Gravity Forms creates a customer and a subscription in SubscriptionFlow every time a Gravity Forms form is submitted. This guide shows how to install the add-on, connect it to your SubscriptionFlow account and set up a form.
Before you start
- WordPress with Gravity Forms 2.5 or later
- A SubscriptionFlow account. No account yet? See plans and pricing or book a demo.
- Your SubscriptionFlow Instance URL, Client ID and Client Secret (an OAuth client created in SubscriptionFlow)
- Products and plans set up in SubscriptionFlow
1. Install the plugin
-
In WordPress, go to Plugins › Add Plugin › Upload Plugin, choose the subscriptionflow-for-gravity-forms.zip file and click Install Now.
-
Click Activate Plugin. The plugin needs Gravity Forms 2.5 or later. No SubscriptionFlow account yet? Use the SubscriptionFlow pricing and Book a demo links on the plugin's row.
2. Connect SubscriptionFlow
-
Go to Forms › Settings › SubscriptionFlow and enter:
-
Instance URL: your SubscriptionFlow address, for example
https://yourcompany.subscriptionflow.com/ - Client ID and Client Secret: create an OAuth client in SubscriptionFlow and copy both values
Click Save Settings. The box at the top changes to Connected.
-
Instance URL: your SubscriptionFlow address, for example
3. Create a feed
-
Open the form that should create subscriptions, go to Settings › SubscriptionFlow and click Add New.
-
Enter a Name for the feed. Under Customer, choose the form field for each detail. Email is required; Name, Phone and Company are optional. Keep Update the customer when one already exists with this email ticked so returning customers aren't duplicated.
-
Under Billing Address, choose the field for each line: street, line 2, city, state, ZIP and country. If the form has an Address field, its parts are filled in automatically.
-
Under Shipping Address, keep Same as the billing address, or choose A different address and map its lines.
4. Choose the plan
-
Under Subscription Type, choose One product and plan for every entry, or Plans mapped to form choices.
-
One product and plan for every entry: choose the Product and Plan. Term Length and Term Period fill in from the plan; change them if you need to.
-
Plans mapped to form choices: each plan reads like a sentence: When [form field] is [option], create [product] [plan] for [term]. The term fills in from the plan.
-
Click + Add plan for each option. Radio buttons, drop downs and checkboxes are supported, with any product and plan. With checkboxes, each ticked option that has a plan creates its own subscription. Use Remove to delete a plan.
Choose the plan price marked every year / every month, not (one-time), so SubscriptionFlow bills the renewals.
5. Price and payment
-
Under Price, Form total is right for most forms. You can also use the SubscriptionFlow plan price, a Form field or a Fixed amount. Quantity Field (defaults to 1) and Start Date Field (defaults to the submission date) are optional.
-
Under Payment › First Payment, choose:
- Charged by SubscriptionFlow if SubscriptionFlow should charge the first invoice, or
- Already collected by the form (Stripe, PayPal, ...) if a payment add-on takes the first payment. The add-on records that payment against the first invoice, marks it Paid, and SubscriptionFlow charges the renewals.
-
Under Subscription Details, keep Auto renew ticked and set the Subscription Name (merge tags such as
{entry_id}work). Map any custom SubscriptionFlow fields here too. -
Conditional Logic is optional. You don't need it to pick a plan; use Subscription Type and Plan Mapping instead.
6. Save and test
-
Click Save Settings. The feed appears in the list with its plan setup, for example 2 plans mapped to form choices.
-
Submit the form as a visitor would. Open the entry under Forms › Entries: within a minute a note shows SubscriptionFlow subscription … created for customer …. Check the customer and subscription in SubscriptionFlow.
Troubleshooting
- A new product or plan is missing from the lists: products and plans are cached for an hour. Save the add-on settings under Forms › Settings › SubscriptionFlow to refresh them.
- The entry has an error note: it shows SubscriptionFlow's reason, for example an option without a plan, or a plan price that isn't linked to the plan.
- The first invoice is Overdue: set First Payment to Already collected by the form when a payment add-on such as Stripe takes the first payment, and make sure the payment is confirmed.
- Full details: turn on logging for the add-on under Forms › Settings › Logging.
