SubscriptionFlow’s integration with Xero simplifies the entire accounting process. It automates the process of invoice synchronization and updates them in the Xero account. With SubscriptionFlow and Xero integration, the manual overhead of invoice management gets eliminated. This ultimately enhances the workflow by ensuring data consistency and accuracy.
Below is the step-wise guide of how Xero can be connected in SubscriptionFlow.
Step 1: Connection
1. Click on the gear icon in the upper right corner of the Dashboard.
2. Next, click on the option “SubscriptionFlow” under the Marketplace section.
SubscriptionFlow Marketplace has various third-party applications that can be connected.
3. Under the Accountings tab, Click on Xero.
4. On the integration page, click the “Connect” button. You will be redirected to the Xero login page where you have to provide your credentials and login.
5. After you’ve logged in, you will be directed back to the following screen on SubscriptionFlow where you can see the Active integration status indicating that Xero has successfully been connected to your SubscriptionFlow account.
Once Xero is connected, the next step is to configure it.
Step 2: Configurations
1. The first field in the Xero configuration settings is Default Income Account. The account selected here will be the default income account assigned to all items (plan charges) that are sold. For example, as shown in the screenshot, we have set our account as “Sales (200)” (as shown in Xero default settings)
2. Next, the field Default Payment Account indicates which account the payment gets deposited into when selected from the drop-down menu. For example, we have set it to “Owner a Funds Introduced (881)” (as shown in Xero default settings)
These accounts can be selected as per the default settings of Xero and you can select the target account as per your preference.
Step 3: Advance Settings
In advance settings, there are the following fields that you can set how you want your data to be shown in SubscriptionFlow invoice line items.
1. You can control whether you would like to sync invoices to Xero if transactions are made against it by selecting enable/disable for “When invoice is created (Recommended)” or “When Transaction is Created”
2. You can set the Xero Payment Account for each payment gateway enabled on your instance and then save. We will be mapping Stripe [credit card] against an “Owner A Share Capital”.
Test Case # 1 – Syncing a Paid Invoice to Xero
1. Go to the Invoices module and click to open the invoice you would like to pay.
2. On the invoice detail page, click on “Process Payment”.
3. The process payment pop-up will open up showing you options to process the invoice.
4. Define your payment method and click on the “Process payment” button to pay.
The invoice will be paid and synced in the Xero account as well.
5. You can go to the Invoices module in Xero to see that the paid invoice is synced from SubscriptionFlow.
