This guide walks you through the all invoices list view and invoice detailed view including all the features and functionality present in this module.

All Invoices List
1.1. Create Invoice
- Inside the Invoices module you can create a new Invoice through the ‘Create Invoice’ button.
1.2. Import Invoices
- Click the ‘Import’ button if you want to import Invoice data from a CSV file. Learn how to import Invoices here.
1.3. Edit List View
- Click on Paid or Due to only view paid and due invoices in the list view.
- Click on ‘All Invoices’ for other available views. In this case let us only view unpaid invoices.
- Now the list view shows you all invoices with outstanding charges.
- This offers the ability to segment invoices and monitor them more closely.
1.4. Filter Invoices
- Now let's say we want to drill down and view only those of the unpaid invoices that were due last month. Use the filter icon to the left to further filter invoices based on varied criteria.
- Here we want to view only the unpaid invoices due last month including paid, partially paid, due and overdue categories. Click ‘Apply Filter’.
1.5. Edit Visible Columns
- Each view is customizable in terms of the fields/columns you wish to see. Click ‘More’ and then ‘Edit Columns’.
- Shift fields from the unselected to the selected side or vice versa to customize what attributes you see in the list view. Here we are enabling the Due Date field.
- Use the arrows on the right of the selected list to move this field up or down in the sequence. Then click Save.
- Your newly selected field is visible. Note that each view e.g. all Invoices, unpaid invoices etc. have their own selected fields.
1.6. Bulk Actions
- Select the Invoices you wish to perform a bulk action on and then click on the ‘Actions’ button at the top. The Send Mail functionality lets you send an email out to all customers linked to the selected invoices simultaneously.
- You are redirected to this screen with all selected customers in the cc. You may want to send a manual reminder to all customers that have unpaid invoices from last month to clear their payments.
- Other quick actions include delete, update, process payment and generate PDF (to send to a customer for offline payments). Learn how to bulk process payments for invoices in this guide.
1.7. Export Invoices
- Click on ‘More’ and then export.
- Configure the export. Then click ‘Export’.
- A green pop up shows you the export has started.
- Enter ‘Administration Settings’ and then click on ‘Exports’ under Data Administration.
10. Download the export file.
Invoice Detailed View
2.1. Audit Record
- Click on Audit to see the complete history of the invoice since its time of creation. The audit logs all updates and the date these changes were made.
2.2. Quick Actions
2.2.1 Paid Invoice
- Scroll down to the main body. Here you have all invoice details listed.
- You can also view history and notes associated with the invoice.
- Click on the Refund button to refund this paid invoice. Read this guide on how to refund a paid invoice.
- Next click on the hamburger icon for some quick actions.You can ‘Email Invoice’.
- Select an email template, a pdf and the recipient. Then click Email Invoice.
- Click ‘Generate Statement’ to get a PDF of the invoice to email customers for offline payment.
- You can also edit the invoice and change its due date.
- Click ‘Dunning Logs’ to see any dunning actions that have been taken for overdue invoices.
2.2.2. Unpaid Invoice
- Unpaid invoices have a ‘Process Payment’ button in place of the Refund button. Read this guide to learn how to manually process payments.
- Additionally you can also Reverse Charges. Read this guide to learn how to reverse charges.
- You may also Write Off the Invoice. A credit note is created to balance accounts and you can leave a note for your own reference.
- Finally you may open the Public Checkout Page to send customers to complete their payment against this invoice.
2.3. Associated Lists
- Scroll down to see the products and plans this invoice bills for.
2.4. Configure Associated Lists
- You can edit associated lists through the ‘Configure’ button to the right.
- Shift any lists you want visible from the unselected to the selected list and save changes.
2.5. Edit Columns Inside Lists
- Similarly, you can edit visible columns inside each list through the ‘Edit Columns’ button to the right.
- Shift any column you want visible from the unselected to the selected list and save changes.
18. The selected columns will be added to the associated list.
