QuickBooks Import Utilities

Updated import-utilitiesimportsmigration

The QuickBooks import utility copies your customers, products and services, and invoices from QuickBooks Online into SubscriptionFlow. It uses your QuickBooks connection, so there are no files to export.

Before You Start

  • Install and connect the QuickBooks app: Settings › API & Integrations › Apps › QuickBooks. See the QuickBooks Integration Guide.
  • If you already have customers in SubscriptionFlow, back up your data first. Records whose email already exists are skipped.

Step 1: Open Import Data

  1. Click the gear icon to open Settings. Under Data Administration, click Imports.

Imports in Settings

  1. On Import Data, under Accounting Apps, click QuickBooks.

Import Data: Accounting Apps

  1. If QuickBooks isn't connected, a dialog says Please Connect Quickbooks App. Click Close, connect QuickBooks (see Before You Start), and try again.

Step 2: Choose What to Import

  1. When QuickBooks is connected, the Smart Import page opens and analyzes your connection ("Analyzing your data..."). It then shows:

    • Strategy: Import New Data imports records that don't exist in SubscriptionFlow yet, matched by email.
    • Time: the estimated time.
    • Select Data to Import: the QuickBooks modules, all ticked. Click a module to untick it.
      • Customers: imported as SubscriptionFlow customers. SubscriptionFlow adds a QuickBooks URL field to your customers that links each customer to its QuickBooks record.
      • Products & Pricing: your QuickBooks items, imported as products and prices.
      • Invoices: your invoices, linked to the imported customers.
    • Recommendations, for example Backup recommended when you already have customers.
  2. Click the import button. SubscriptionFlow creates the field mappings ("Field Mappings Created!") and redirects you to Review Mappings.

This page currently opens in the Classic view.

Step 3: Review the Mapping and Run the Import

Check the field mappings, change any field you need, and start the import. The mapping and settings steps are the same as for a file import: see Customers Import. Follow the import on Imports › History.
